Refund Policy

1. Overview
This Refund Policy explains how refunds, cancellations, and billing adjustments work for paid subscriptions to Dokpod(“Dokpod,” “we,” “us,” or “our”). It should be read together with our Terms of Use and Privacy Policy.
By subscribing to a paid plan, you agree to the billing and refund practices described below, except where applicable law provides you with non-waivable rights.
2. Free trial
New accounts may start a 3-day free trial of Pro features. To begin a trial, you must provide valid payment information (such as a credit or debit card) at checkout. This helps us verify that each trial is used by a real person who intends to evaluate the Service.
During the trial: You will not be charged while your account is in an active free-trial period. Your account will be recorded in our systems as being on a free trial, with full Pro access for 3 days from the trial start date.
After the trial: Unless you cancel before your trial ends, your selected paid plan will begin automatically and your payment method will be charged the then-current subscription fee (plus applicable taxes) for the billing interval you chose at signup. You authorize this charge when you start the trial.
To avoid being charged: Cancel your subscription before the end of the 3-day trial period from Settings → Billing or by contacting support@dokpod.io. If you cancel during the trial, you will not be charged and your account may move to a read-only state after the trial period ends, as described on our pricing page.
3. Subscription fees
Paid plans (including Pro and Team) are billed in advance on a recurring monthly or annual basis according to the plan and billing interval you select at checkout. Your subscription renews automatically at the end of each billing period unless you cancel before the renewal date.
All fees are stated in U.S. dollars unless otherwise indicated at checkout. Applicable taxes may be added where required by law.
4. General refund policy
Monthly subscriptions: Subscription fees are generally non-refundable once a billing period has begun. If you cancel, you retain access to paid features through the end of the current billing period; we do not provide prorated refunds for unused days in that period unless required by law or expressly approved by us in writing.
Annual subscriptions: Annual fees are non-refundable after the annual term begins, except where required by law or as described in Section 5 below. Canceling an annual plan stops future renewals but does not entitle you to a refund for the remaining months of the current term unless we agree otherwise or the law requires it.
Team and multi-seat plans: Refunds, if any, apply to the account holder who purchased the subscription. Seat changes during a billing period do not automatically generate partial refunds unless stated at checkout or required by law.
5. Exceptions we may approve
We may, at our sole discretion, issue a full or partial refund or account credit in the following situations:
- Duplicate charge: you were billed twice for the same subscription period
- Billing error: an incorrect amount was charged due to a technical or administrative mistake on our side
- Extended outage: a material, prolonged service failure that prevented meaningful use of paid features for a substantial portion of your billing period
- First-time purchase: in limited cases, a refund request made within fourteen (14) days of your first paid subscription charge if you have not materially used paid features (for example, large uploads, heavy processing, or sustained MCP usage). We evaluate these requests case by case.
Approval of any exception is not guaranteed and does not create an obligation to approve similar requests in the future.
6. Cancellation
You may cancel your subscription at any time from Settings → Billing or by contacting support@dokpod.io.
During a free trial: Cancel before the trial end date to avoid any charge. Cancellation during the trial stops automatic conversion to a paid subscription.
During a paid subscription: Cancellation takes effect at the end of the current billing period unless otherwise stated at checkout. You retain access to paid features through that period; we do not provide prorated refunds for unused days unless required by law.
After cancellation, your vault and account data are handled according to our Terms of Use and Privacy Policy. Canceling does not by itself delete your account or vault content.
7. Chargebacks and payment disputes
If you believe a charge is incorrect, please contact us before initiating a chargeback or payment dispute with your bank or card issuer. We will work in good faith to resolve legitimate billing concerns quickly.
Unjustified chargebacks may result in suspension or termination of your account and loss of access to paid features while the dispute is investigated.
8. Consumer rights (EU, UK, and similar jurisdictions)
If you are a consumer in the European Union, United Kingdom, or another jurisdiction with mandatory cooling-off or withdrawal rights, you may have the right to cancel certain digital service contracts within a specified period and receive a refund, subject to local law and any reduction for services already supplied with your consent.
Because Dokpod provides immediate access to digital services upon subscription, you may be asked to acknowledge that delivery begins right away and that statutory withdrawal rights may be limited once you start using the service. Nothing in this policy limits rights that cannot be waived under applicable law.
9. Enterprise and custom agreements
Customers on custom or enterprise agreements are governed by the refund and cancellation terms in their signed order form or master agreement. Where those terms conflict with this policy, the signed agreement controls.
10. How to request a refund
To request a refund or report a billing issue, email support@dokpod.io from the email address associated with your account and include:
- Your account email address
- Date and amount of the charge
- Reason for the request
- Any relevant receipts or transaction references
We aim to respond within five (5) business days. Approved refunds are returned to the original payment method when possible; processing times depend on your payment provider and may take five to ten (5–10) additional business days to appear on your statement.
11. Changes to this policy
We may update this Refund Policy from time to time. The “Last updated” date at the top of this page indicates when it was last revised. Material changes will be posted on this page; continued use of paid services after changes constitutes acceptance of the updated policy for future billing periods.
