Terms of Use

1. Agreement to terms
These Terms of Use (“Terms”) govern your access to and use of Dokpod (“Dokpod,” “we,” “us,” or “our”), including our website at dokpod.io, applications, APIs, integrations, and related services (collectively, the “Service”).
By creating an account, accessing, or using the Service, you agree to be bound by these Terms, our Privacy Policy, and our Refund Policy. If you do not agree, do not use the Service.
If you use the Service on behalf of an organization, you represent that you have authority to bind that organization, and “you” refers to that organization.
2. Eligibility
You must be at least 18 years old (or the age of majority in your jurisdiction) and capable of forming a binding contract to use the Service. The Service is not intended for children under 13.
You may not use the Service if you are barred under applicable law or if we have previously suspended or terminated your account for violation of these Terms.
3. Description of the service
Dokpod provides a private knowledge vault that lets you upload documents, images, and videos, organize them, and search indexed content through AI-assisted workflows and supported integrations. The Service is designed to help reduce redundant context loading by retrieving relevant sections instead of entire files.
Features, storage limits, processing quotas, and plan entitlements are described on our pricing page and may change over time. We may add, modify, or discontinue features with reasonable notice where practicable.
4. Account registration and security
You must provide accurate, current, and complete registration information and keep it updated. You are responsible for all activity under your account, including activity performed through integration keys or connection credentials issued to you.
You must safeguard your login credentials and any keys, tokens, or secrets associated with your account. Notify us immediately at support@dokpod.io if you suspect unauthorized access. We are not liable for losses arising from compromised credentials that you failed to protect.
5. Acceptable use
You agree to use the Service only for lawful purposes and in accordance with these Terms. You must not:
- Upload, store, or transmit content you do not have the right to use or share
- Violate intellectual property, privacy, export control, or other applicable laws
- Upload malware, attempt unauthorized access, or interfere with Service integrity
- Probe, scan, or test vulnerabilities except with our prior written consent
- Reverse engineer, decompile, or attempt to extract source code except where prohibited by law
- Use the Service to build a competing product through systematic scraping or extraction
- Share account credentials or connection keys in a way that exposes others' data
- Engage in abusive, fraudulent, or excessive usage that degrades the Service for others
We may investigate violations and suspend or terminate accounts that pose risk to the Service, other users, or third parties.
6. Your content
Ownership.You retain ownership of content you upload or create in your vault (“Your Content”). Dokpod does not claim ownership of Your Content.
License to Dokpod. You grant Dokpod a worldwide, non-exclusive, royalty-free license to host, store, reproduce, process, transform, index, display, and transmit Your Content solely as necessary to provide, maintain, secure, and improve the Service for you and, where applicable, authorized team members on your plan.
Responsibility. You are solely responsible for Your Content and for ensuring you have all rights and consents needed to upload and process it through the Service, including content containing personal data about others.
Storage model. For certain media types, the Service may retain searchable indexes and derived metadata rather than original files after processing, as described in the product and in our Privacy Policy.
7. Intellectual property
The Service, including its software, design, branding, documentation, and underlying technology, is owned by Dokpod or its licensors and is protected by intellectual property laws. Except for the limited rights expressly granted in these Terms, no rights are transferred to you.
You may not use Dokpod trademarks, logos, or branding without our prior written permission. Feedback you provide may be used by us without obligation or compensation to you.
8. Subscriptions, trials, and billing
Certain features require an active free trial or paid subscription. Plan details, pricing, and limits are shown on our pricing page and at checkout.
Starting a free trial. New accounts may start a 3-day free trial of Pro features. To begin a trial, you must provide valid payment information at checkout. You will not be charged during the trial period, but you authorize us and our payment processor to charge your payment method when the trial ends unless you cancel before that date.
Trial status. While your trial is active, your account is recorded in our systems as being on a free trial and receives Pro-level access for 3 days from the trial start date.
Conversion to paid. If you do not cancel before your trial ends, your subscription begins automatically and your payment method will be charged the applicable fee for the plan and billing interval you selected. If you cancel during the trial, you will not be charged and paid features may end when the trial period expires.
Subscriptions renew automatically at the end of each billing period unless canceled before renewal. You authorize us and our payment processor to charge applicable fees and taxes to your payment method on file.
Refunds are governed by our Refund Policy. Except where required by law, fees are non-refundable once a billing period has begun.
We may change prices for future billing periods with reasonable advance notice. Price changes apply on renewal unless you cancel before the new rate takes effect.
9. AI-assisted features
The Service includes AI-assisted capabilities that help analyze, summarize, transcribe, and index Your Content. To improve accuracy and quality of results, Dokpod may use third-party AI capabilities where appropriate as part of delivering the features you request.
AI-generated output may be incomplete, inaccurate, or outdated. You are responsible for reviewing important information and should not rely on AI output as the sole basis for legal, medical, financial, or other high-stakes decisions.
By using AI-assisted features, you confirm that you have the right to submit Your Content for such processing and that doing so complies with applicable law and any obligations you owe to third parties.
10. Third-party services and integrations
The Service may interoperate with third-party AI tools, editors, or platforms that you connect at your discretion. Dokpod is not responsible for third-party services, their availability, or their handling of data outside the Service.
Your use of third-party services is subject to their terms and policies. You are responsible for configuring integrations securely and revoking access when no longer needed.
11. Service availability and modifications
We strive to keep the Service available and reliable, but we do not guarantee uninterrupted or error-free operation. Maintenance, upgrades, network issues, or events beyond our reasonable control may cause temporary downtime.
We may modify, suspend, or discontinue any part of the Service at any time. For material adverse changes to paid features, we will use commercially reasonable efforts to provide advance notice.
12. Disclaimers
THE SERVICE IS PROVIDED “AS IS” AND “AS AVAILABLE.” TO THE FULLEST EXTENT PERMITTED BY LAW, DOKPOD DISCLAIMS ALL WARRANTIES, WHETHER EXPRESS, IMPLIED, OR STATUTORY, INCLUDING IMPLIED WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, TITLE, AND NON-INFRINGEMENT.
WE DO NOT WARRANT THAT SEARCH RESULTS, SUMMARIES, TRANSCRIPTS, OR OTHER OUTPUT WILL BE ACCURATE, COMPLETE, OR SUITABLE FOR YOUR PURPOSES.
13. Limitation of liability
TO THE FULLEST EXTENT PERMITTED BY LAW, DOKPOD AND ITS OFFICERS, DIRECTORS, EMPLOYEES, AGENTS, AND AFFILIATES WILL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, EXEMPLARY, OR PUNITIVE DAMAGES, OR FOR LOSS OF PROFITS, REVENUE, DATA, GOODWILL, OR BUSINESS OPPORTUNITY, ARISING OUT OF OR RELATED TO THE SERVICE OR THESE TERMS, EVEN IF ADVISED OF THE POSSIBILITY OF SUCH DAMAGES.
TO THE FULLEST EXTENT PERMITTED BY LAW, OUR TOTAL LIABILITY FOR ANY CLAIM ARISING OUT OF OR RELATING TO THE SERVICE OR THESE TERMS IS LIMITED TO THE GREATER OF (A) THE AMOUNT YOU PAID DOKPOD FOR THE SERVICE IN THE TWELVE (12) MONTHS BEFORE THE EVENT GIVING RISE TO THE CLAIM, OR (B) ONE HUNDRED U.S. DOLLARS (US $100).
Some jurisdictions do not allow certain limitations; in those cases, our liability is limited to the maximum extent permitted by law.
14. Indemnification
You agree to defend, indemnify, and hold harmless Dokpod and its affiliates, officers, directors, employees, and agents from and against any claims, damages, losses, liabilities, costs, and expenses (including reasonable attorneys' fees) arising out of or related to: (a) Your Content; (b) your use of the Service; (c) your violation of these Terms; or (d) your violation of any law or third-party rights.
15. Termination
You may stop using the Service at any time. You may cancel paid subscriptions as described in our Refund Policy. We may suspend or terminate your access immediately if we reasonably believe you violated these Terms, pose a security risk, or if required by law.
Upon termination, your right to use the Service ends. Sections that by their nature should survive (including intellectual property, disclaimers, limitation of liability, and indemnification) will survive termination.
16. Governing law and disputes
These Terms are governed by the laws of the State of Delaware, United States, without regard to conflict-of-law principles, except where mandatory consumer protection laws in your country of residence apply.
Except where prohibited by law, you agree that exclusive jurisdiction for disputes arising from these Terms or the Service lies in the state or federal courts located in Delaware, and you consent to personal jurisdiction in those courts.
Before filing a formal claim, you agree to contact us at support@dokpod.io and attempt to resolve the dispute informally within thirty (30) days.
17. General provisions
These Terms, together with the Privacy Policy and Refund Policy, constitute the entire agreement between you and Dokpod regarding the Service. If any provision is found unenforceable, the remaining provisions remain in effect.
Our failure to enforce a provision is not a waiver. You may not assign these Terms without our consent; we may assign them in connection with a merger, acquisition, or sale of assets.
18. Changes to these terms
We may update these Terms from time to time. We will post the revised Terms on this page and update the “Last updated” date. Material changes may be communicated by email or in-product notice. Continued use after the effective date constitutes acceptance of the updated Terms, except where further consent is required by law.
